Troubleshoot Print Delivery

From time to time, issues may occur with the Print Job Delivery process that will require troubleshooting to address. This could be an issue with PASI which would engage the PASI Operational Support team or perhaps an issue on the Print Service Provider’s side of things that will require engaging the Print Service Provider and potentially the PASI Operational Support team.

Terminology

The following terms have been included to assist with the understanding of the process detailed within this document.

Transcript

The transcript represent ts a set of official Information about a student's academic history in the Alberta Education system including Official Marks and Credentials. The transcript contains only the official mark (and components that were selected to arrive at the official mark) for each course completed. There is no history of attempts.

Printed Transcript

The physical document created by the transcript process. It is sent to a printer and produced on a paper which contains a pre-printed logo and may contain other security elements.

Primary Scenario – Document Resolution Produces Replacement Document for Automated Mail

This scenario begins where the PASI Support receives notification of a document print problem for documents related to an Automated Mail Delivery Method. The notification could be from the Print provider, Student Records or the PASI system. The document issue could be a missing or corrupt print file, or one or more damaged or missing printed transcripts.

1. PASI Production Support collaborates with Student Records and Print Service Provider to discuss document issue.

2. PASI Production Support determines appropriate resolution to reprint document(s).

3. PASI Production Support provides replacement print file to Print Service Provider.

4. Print Service Provider receives the replacement document file for printing.

5. Print Service Provider reprints document(s).

6. Print Service Provider auto-stuffs and prepares the transcripts for mailing by Canada Post to the recipients.

a. The transcripts will be mailed to the recipient name and address that was specified on the transcript order item.

This scenario ends with the transcript documents being printed, auto-stuffed and sent for mailing by the Print Service Provider.

Alternate Scenario #1 - Document Resolution Produces Replacement Document for Manual Mail

This scenario starts from step 5 of the Primary Scenario where Print Service Provider successfully receives the replacement print file and the delivery method is manual mail.

6. Print Service Provider returns the printed documents to Student Records for Delivery.

This scenario ends with the transcript documents being printed, and returned for delivery to Student Records by the Service Provider. Student Records will handle the documents from that point as per the “Manually Deliver Printed Transcripts” sub-process.

Alternate Scenario #2 -Document Resolution Produces Replacement Document for Manual Mail Insert

This scenario starts from step 5 of the Primary Scenario where Print Service Provider successfully receives the replacement print file and the delivery method is automated mail manual insert.

6. Print Service Provider will manually stuff and deliver the transcripts to the recipients.

This scenario ends with the transcript documents being printed, manually stuffed and sent for mailing by the Print Service Provider.

Alternate Scenario #3 -Document Resolution Cannot Produce Replacement File

This scenario starts from step 2 of the Primary Scenario where PASI Production Support determines that the resolution for the document issue requires Student Records to re-order the transcript. 3. Student Records re-orders the document. This scenario ends with the transcript document(s) being re-ordered and processed accordingly.

Non-Functional Considerations

Approximately 170,000 transcripts get ordered per year with approximately 35,000 being printed and physically delivered. The remainder are delivered electronically to the Post-Secondary Institutions through the ApplyAlberta electronic interface. The peak time for transcript ordering/processing/printing is at the end of the typical school year around June, however, orders will come in for processing throughout the year.

Next to the year end, the scheduled transcript runs that are scheduled via Control Schedules in PASI will be the next highest volume. These will occur following every diploma exam sitting.
