Managing Waived Fee - Individual Student Request (Business Process)

Assessment has the capabilities in PASI to award Waived Fees in a diploma course to students which can be used to pay diploma exam registration fees.

The granting of a Diploma Exam Waived Fee to a student in a diploma course involves a request and review process that engages Special Cases and/or the Director of Exam Administration.
If the request is approved, Assessment will be requested to create the Waived Fee for the diploma course in PASI for the student. The coupon can then be treated as a system waiver to pay required fees when creating an exam registration in the diploma course for the student.

This process considers scenarios where an individual is registered to write a diploma exam, does not write or is unable to write the diploma exam, and whether the student situation warrants a Waived Fee being granted to the student.

Primary Scenario #1 – Individual Student Unable to Write Diploma Exam, Waived Fees Created

This Scenario starts when the student is registered to write a diploma exam, and identifies that they will be or are unable to write the diploma exam.

  1. The Student determines that their situation should be considered a “special case” due to their circumstances and requests for Special Cases / Director of Exam Administration to review their situation and determine if allowances can be made (i.e. Waived Fee).
  2. Special Cases/Director of Exam Administration reviews the request and determines that the individual’s case warrants that a Waived Fee(s) be issued to the Student for the diploma exam course(s). The student is notified of the decision.
  3. Special Cases/The Director of Exam Administration requests that Assessment creates the Waived Fee(s) for the Student.
  4. Assessment receives and processes the request for the Waived Fee(s), and creates the coupon(s) in PASI. The newly created coupon(s) is reviewed in PASI by Assessment and updated if required.

The process ends with the Waived Fee(s) created for the student, and the student has been notified.

Alternate Scenario #1 – Individual Students Unable to Write Diploma Exam, Waived Fees Not Created

This scenario starts after the student has submitted their request for a special cases review to Special Cases / Director of Exam Administration in the Primary Scenario.

  1. Special Cases / The Director of Exam Administration reviews the request and decides that a Waived Fee(s) will not be granted to the student, and notifies the Student.

This scenario ends with no Waived Fee(s) being created for the student, and the student has been notified of this decision.

Alternate Scenario #2 – Individual Student Unable to Write Diploma Exam, Student Determines not Special Case

This scenario starts after the student is registered to write a diploma exam, and identifies that they will be or are unable to write the exam.

  1. The student decides that their situation is not a special case, and does not make a request to Special Cases/Director of Exam Administration.

This scenario ends with no request being made for special case consideration, and no Waived Fee(s) being created for the student.
