Deliver Digital Official Documents

PASI allows for document order items to be delivered to the intended recipient. This page outlines the delivery process for electronically delivered transcripts and credentials from PASI to a digital official document consumer.

Primary Scenario – Digital Official Document Consumer Downloads Document(s)

This scenario begins where a document order item for a digital official document exists with an active Digital Official Document Consumer.

  1. The PASI Digital Official Document Notification Processor generates a digital official document notification and sends to the digital official document consumer.
    1. This may be the “Available for Download” notification or the “About to Expire” notification.
  2. The Digital official document consumer receives the digital official document notification.
  3. The Digital official document consumer accesses the list of digital official documents available to them via the URL provided in the notification through the View Digital Official Documents screen.
  4. The Digital official document consumer downloads one or more digital official documents.
    1. Digital official documents include credentials and/or transcripts.
    2. The user receives a PDF of the digital official document 1) with the appropriate overlays applied.
    3. This calls the Update Document Order Item service to update the document order item status from “Ready for Delivery” to “Downloaded” on the first download.
  5. The PASI Document Order Notification Processor sends a notification to the student.
    1. Where the official document downloaded was a credential, the student is sent the credential downloaded notification.
    2. Where the official document downloaded was a Transcript, the student is sent the transcript downloaded notification.
    3. The Student receives the notification.

This scenario ends with the digital official document being downloaded by the digital official document consumer and the student being notified.

Alternate Scenario #1 – Documented downloaded again

This scenario begins after step 4 of the Primary scenario where the digital official document consumer chooses to download the digital official document again after the initial download. This scenario ends with the digital official document being downloaded by the digital official document consumer (but no student notification is generated/delivered).

Alternate Scenario #2 – Document Expired Without Download

This scenario begins after step 3 of the Primary scenario where the user has missed the opportunity to download the digital official document and it is now expired.

This scenario ends with the user not downloading the document and the document order item now being in an expired state.

Alternate Scenario #3 - The URL has expired

This scenario continues after step 2 of the Primary Scenario where the user has received a URL to access their documents, but that URL is no longer valid (either because a new URL has been provided or the URL has expired).

This scenario ends with the user not having access to view the Digital Official Documents Application application or any digital official document.
