Data Access Rules
The following rules are applied to control access to view/add/edit the records created based on this business object.
Data Access Rules
The following rules are applied to control access to Document Order Item records.
Access to a Record
To access a document order item record, the user must be associated to the student by Ministry1) or be a Public user.
Adding a new Record
To add a new document order item record, the user must be associated to the student by Ministry2) or be a Public user.
Updating a Record
In order to update an existing record, the user must be associated to the student by Ministry3) or be a Public user.
Student Document Data Access Rules

Synchronization Rules
In order to synchronize 4) a Student Document:
- The organization must have access to the Student Document as per the access to a record section below
- The Student is considered an active student
Access to a Record
In order to access a Student Document5):
- The organization has access to the document type as per the Document Type Data Access Rules, and
- The current date must be before the document's Scheduled Disposal Date, and
- The organization must have access to the student as per the Student Data Access Rules, and
- The organization must not be classified as Not in Alberta - National Contracted, and
- One of the following must also be true:
- The requesting organization is Alberta Education6),
- The requesting organization is a Student Record Custodian,
- The requesting organization is associated to the Linked To Organization7)
- The requesting organization is associated to the student By Recent School Enrolment, and the document does not have a Linked To Organization (e.g. vital statistic documents)
- The requesting organization matches the Student Document Created By Organization of the document and the document has a Historical Document Type:
- if the requesting organization is a school, the created by organization should be the same as the requesting school, or
- if the requesting organization is an authority, the created by organization should match the requesting authority or any school governed by the requesting authority.
- If the document is currently deleted, then:
- The organization must also be associated to the organization that deleted the document8), or
- The organization must be associated to the student By Last School Enrolment, By Current School Enrolment or By Ministry
Access to the Document Image
In order to access the metadata for an document image9):
- The PASI Client must have access to the Student Document
- The Student Document record cannot be in a deleted state
Access to the Student Documents menu
- The Student Document menu will not be available for organizations that are classified as Not in Alberta - National Contracted.
Adding a new Record
In order to add a new Student Document record10):
- The organization must not be classified as Not in Alberta - National Contracted
Updating an Existing Record
In order to update11) an existing Student Document record12):
- The PASI Client must have access to the Student Document
- The Student Document record cannot be in a deleted state.
Deleting an Existing Record
In order to delete13) an existing Student Document record14):
- The PASI Client must have access to the Student Document
- The Student Document record cannot be in a deleted state.
Undeleting an Existing Record
In order to undelete15) an existing Student Document record16):
- The PASI Client must have access to the Student Document
- The Student Document record cannot be in an undeleted state.
