Diploma Exam Process

A student is expected to write a diploma exam for Diploma Exam Course in order to receive a mark and/or credits. This involves registering the student to write the diploma exam for a Course and Exam Period/School Year in a specific Diploma Exam Sitting. After writing the exam, the student can view their exam marks once ministry releases all the Exam Marks for the exam session.

Timeline of Diploma Exam Registration and Mark Submission

Primary Scenario - Student writes a diploma exam

This scenario begins with a student deciding to write a diploma exam, or is enrolled in a diploma course and is planning to write the diploma exam for the course.

  1. Student registers to write the exam as described in the Register for Diploma Exam sub-process.
    1. This is dependent on:
      1. Assessment defining the Exam and the Diploma Exam Components for the diploma exam through the Submit Diploma Exam service, and
      2. The school/writing centre that the student wishes to write at defining the Diploma Exam Sitting for each Diploma Exam Component using the Submit Diploma Exam Sitting service (invoked through integrated SIS or PASIprep via List Diploma Exam Sittings/Add Diploma Exam Sitting/Edit Diploma Exam Sitting).
  2. For each exam component in the exam, the student writes the exam component on the Exam Scheduled Date/Time
    1. This is dependent on Assessment shipping diploma exam materials to the writing centre based on the Diploma Exam Sitting's Maximum Student Capacity to enable the writing centre to administer the exam.
      1. Assessment's shipping process is outside the scope of PASI
    2. Once the writing centre receives the materials they will administer the exam on the Exam Scheduled Date/Time for that exam component.
      1. If there are students that were granted accommodations, the writing centre will provide the accommodations for the student. The writing centre may use the List Diploma Exam Registrations screen to gather a list of all students registered at their centre.
  3. After the exam is written, the writing centre returns all exams back to Assessment for marking, along with the Principal's Statement.
  4. Assessment marks the student's exam
    1. If the Student has an email address on file with PASI, the Student will be sent a notification email asking them to view their myPass Messages regarding information about their Pending Diploma Exam Marks.
  5. Assessment post the exam marks to PASI via the Submit Diploma Exam Mark service.
    1. If the Student has an email address on file with PASI, the Student will be sent a notification email asking them to view their myPass Messages regarding information about their released Diploma Exam Marks.
  6. Student views their exam results via the View Diploma Exam Results sub-process.

This scenario ends with the student receiving an Exam Mark for the diploma exam they have written.

Alternate Scenario 1 - Student walks in to write diploma exam

This scenario begins with a student visiting a writing centre to write a diploma exam, and the student (or the school/writing centre on behalf of the student) did not register for the exam prior to writing.

This scenario begins from Step 2 of the Primary Scenario.

  1. Student submits a late registration as described in the Submit Late Diploma Exam Registration sub-process.

This scenario continues on with Step 3 of the Primary Scenario.

Alternate Scenario 2 - Student writes in a special sitting

A student may request to write in a special writing centre if they have no alternative but to write their diploma exam outside of the province. This scenario begins after Step 1 of the Primary Scenario.

  1. Student goes through the sub process -Request to Write in Special Sitting.

This scenario continues on with Step 2 of the Primary Scenario.

Alternate Scenario 3 - Student wishes to change attributes of a registration

A student may want to change attributes of a diploma exam registration after it has been created, such as changing the language of exam and/or the writing location. This scenario begins after Step 1 of the Primary Scenario.

  1. Student goes through the sub process -Managing Diploma Exam Registrations.

This scenario continues on with Step 2 of the Primary Scenario.

Alternate Scenario 4 - Student wishes to request a rescore

A student may want to request for a rescore after viewing their diploma exam results. This scenario begins after Step 4 of the Primary Scenario.

  1. Student goes through the sub process -Diploma Exam Mark Rescore Process.

This scenario ends with Student creating a rescore request.

Alternate Scenario 5 - NWT/NU Report

Assessment produces an annual report of the NWT/NU students identifying how they have compared with the Alberta students. This scenario begins after Step 4 of the Primary Scenario.

  1. Assessment completes the steps required to produce the NWT/NU Report. This report includes the School & Exam mark for each diploma exam course for the NWT/NU students for the year.
  2. NWT/NU School(s) receives the report from Assessment.

This scenario ends with the NWT/NU schools receiving a report from Assessment.
