This screens allows user to edit an existing Parent/Guardian record.

The screen presents the data using the PASIprep Edit Item Template.

This page uses the Submit Parent Guardian service.

Secured By

User can access this page if they meet the Parent/Guardian Data Access Rules to update the record and has the PASIprep Level 02 Permission - Modify Student.

Common Student Elements

Name Information

Relationship Information

Resides With?Indicates if the student resides with the parent / guardian. Dropdown with options of Yes/No. Defaults to 'blank'. Mandatory.

Contact Information

DataDescription
Same Home Number as Student?Indicates if the Parent/guardian has the same home phone number as the student. Checkbox with options of Yes/No. Defaults to 'blank'. Optional.
Home Number

Represents the Home phone number of the parent/guardian. Text Field. Optional.

Or if 'Has Same Home Phone Number as Student' is True:

Displays the student’s phone number where the:
1. Phone Type is set to “Preferred”.
2. Address Type is ‘Home’.
3. Expiry Date is in the future (date > today or doesn’t exist).

Otherwise displays the student’s phone number where:
1. Address Type is ‘Home'.
2. Expiry Date is in the future (date > today or doesn’t exist).
3. Has most recent Effective Date.

Email AddressRepresents the E-mail address of the parent/guardian. Text Field. Optional.
Mobile NumberRepresents the Mobile phone number of the parent/guardian. Text Field. Optional.
Work NumberRepresents the Work phone number of the parent/guardian. Text Field. Optional.

Mailing Address

Displays the mailing address block for the Parent/Guardian formatted consistently with the Data Format Guidelines for mailing address to be used for mailing. This means that the information displayed in myPass would display similarly to the data displayed here.

Same as Student?
  • Indicates if Parent Mailing Address is same as Student Mailing Address or not using a checkbox with options of Yes/No and defaults to 'blank'.
  • If Same as Student? is set to True, then:
    • Display the Parent/Guardian’s Mailing address fields same as Student’s Mailing Address. No address information will be saved. Set the fields read only.
  • Or if Same as Student? is set to False, then:
    • Set the Parent/Guardian’s Mailing address fields blank and editable, allowing the user to enter the information. The information provided by the user will be saved to the Parent/Guardian record.

Country
  • Country of the mailing address.
  • When the user updates information then:
Street
  • Street of the mailing address.
  • When the user updates information then:
City
  • City of the mailing address.
  • When the user updates information then:
Province or State or Region
  • Province of the mailing address with the field label used is based on Address Format.

Physical AddressPhysical Address Details

Displays the physical address block for the Parent/Guardian formatted consistently with the Data Format Guidelines for physical address. This means that the information displayed in myPass would display similarly to the data displayed here.

Same as?
  • Allows user to set Parent/Guardian Address same as one of the selected options from drop down.
    • If Same as? = ‘MailingAddress’, then:
      • Display the Parent/Guardian’s Physical Address fields same as Parent/Guardian’s Mailing Address. No address information will be saved. Set the fields read only.
    • If Same as? = ‘StudentMailingAddress’, then:
      • Display the Parent/Guardian’s Physical Address fields same as Student's Mailing Address. No address information will be saved. Set the fields read only.
    • If Same as? = ‘StudentPhysicalAddress’, then:
      • Display the Parent/Guardian’s Physical Address fields same as Student's Physical Address. No address information will be saved. Set the fields read only.
    • If Same as? = ‘PhysicalAddress’, then:
      • Allow the user to enter information for Parent/Guardian’s Physical Address and save information.
  • System should translate the Code Short Description to display the values on the UI based on following mapping.

  • Country of the physical address.
  • When the user updates information then:
Street
  • Street of the physical address.
  • For Address Format = ATS (Address Format), the screen opens in ATS Mode. This means the Street data field is replaced by the ATS specific address data fields:
    • Meridian: Mandatory field with drop down allows only valid values of 4, 5, 6.
    • Range: Mandatory field with drop down allows only valid values of 1 through 30.
    • Township: Mandatory field with drop down allows only valid values of 1 through 126.
    • Section: Mandatory field with drop down allows only valid values of 1 through 36.
    • Quarter Section: The drop down allows only valid values of N, E, W, S, NE, NW, SE, SW.
    • Legal Subdivision: The drop down allows only valid values of 1 through 16.
    • Each field is blank when the ATS Address Format is chosen.
  • When the user updates information then:
City

  • Province of the physical address with the field label used is based on Address Format.

Reference #The unique reference number for the record. Display only.
  • Until Physical Address for Students is gathered, the Physical Address for the Parent will be set to the Student's Mailing Address if the Same as Student? flag is set to 'Y'.

Following data entry, the following client-side validations are completed on the Last Name, First Name, Middle Name and Suffix fields:

  • Name value starts with a ‘.’:
    • “Value cannot contain words that start with a period.”
  • Name value starts with a ‘–‘
    • “Value cannot begin with a hyphen.”
  • Name value ends with a ‘-’
    • “Value cannot end with a hyphen.”

The following is handled automatically by the system on save:

  • Spaces before and after the name values are stripped out.
  • For saving ATS Addresses, the ATS specific Address Fields are to be concatenated into a single string, with semicolon used as a field separator, as per the GoA IMT Standard A000053 standard and stored in the Street data field. See format below:

Cancel Function

Selecting the Cancel action redirects the user as per the UI Navigation guidelines without saving any changes.

Save Function

Selecting the Save action will save the record and the user will be directed as per the UI Navigation guidelines.

Google Analytics

Each tab should be tracked as a page view in the analytics as described in the PASIprep Analytics Guidelines.
