An Evaluated Mark describes a mark assigned to a student in a course, when the student did not take the course at a school. Evaluated Marks are typically provided by a school (under the authority of the school’s principal) and outline that although a student did not take the course, they have the requisite knowledge and/or skills to meet the objectives of the course.

The following rules are applied to control access to view/add/edit Evaluated Mark records.

In order to access a record, the:

• PASI Client must have the View Academic Record User role, and
• At least one of the following:
  • Organization owns the record, or
  • Organization is associated to the student By Recent School Enrolment or better¹⁾, or
  • Organization has Access to the Student (Moved) and the record is considered a Current Course Mark

In addition, when the Course Code is a Territory Course Code ²⁾, the Organization must be:

• the Government of Alberta (O.1) or
• a Territory Authority
• a school within a Territory Authority

In addition, when being accessed via PASIprep, the:

• PASIprep user must have the PASIprep Level 01 Permission - PASIprep Access permission.
• PASIprep user must have the PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials permission.

When accessible, the following rules are applied to specific data elements on the record:

In order to add a recent Evaluated Mark record, the:

• PASI Client must have the Submit Academic Record User role, and
• Organization must have Access to the Student (Moved) OR Has a Historical School Enrolment for the ASN

Also, when being added via PASIprep, the:

• PASIprep user must have the PASIprep Level 01 Permission - PASIprep Access permission, and
• PASIprep user must have the PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials permission, and
• PASIprep user must have the PASIprep Level 07A Permission - Manage Course Marks permission.

In addition, a PASIprep user must meet the conditions in the following rules:

• Rule 40380 - Evaluated Mark – Unauthorized User - Level 7A
• Rule 40382
• Rule 40385 - Unauthorized User

There are three types of updates that can be done to an Evaluated Mark record:

• Updating the details of the Evaluated Mark
• Updating the status of a Evaluated Mark Core Alert
• Approving / Unapproving the Evaluated Mark Mark Value

In addition, a PASIprep user must meet the conditions in the following rules:

• Rule 40380 - Evaluated Mark – Unauthorized User - Level 7A
• Rule 40385 - Unauthorized User

Evaluated Mark with an approved mark value cannot be updated. In order to update an Evaluated Mark with an approved mark value, the mark value must first be unapproved. In PASIprep, the user interface allows a user to update a Evaluated Mark with an approved mark value, but before submitting the update, PASIprep first unapproves the mark value. In these situations, the PASIprep user must have the permission to both unapprove and update the Evaluated Mark.

In order to update an Evaluated Mark, the:

• PASI Client must have the Submit Academic Record User role, and
• Organization must own the record.

In addition, when being added via PASIprep, the:

• PASIprep user must have the PASIprep Level 01 Permission - PASIprep Access permission, and
• PASIprep user must have the PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials permission, and
• PASIprep user must have the PASIprep Level 07A Permission - Manage Course Marks permission.

In order to update the Acknowledgement Status of a core alert associated to an Evaluated Mark, the:

• PASI Client must have the Submit Academic Record User role, and
• Organization must own the associated Evaluated Mark record.

In addition, when being updated via PASIprep, the:

• PASIprep user must have the PASIprep Level 01 Permission - PASIprep Access permission, and
• PASIprep user must have the PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials permission, and
• PASIprep user must have the PASIprep Level 07A Permission - Manage Course Marks permission
• PASIprep user must not have the PASIprep Level 49 Permission - Manage Special Cases Adult Equivalency Requests when managing non-Adult Equivalency coursework, as validated by Rule 50000

In addition, in order to update the Acknowledgement Status to or from Overridden, the:

• Organization must be the Government of Alberta (O.1)
• PASIprep user must have the PASIprep Level 10 Permission - Override Warning Work Items

In order to approve or unapprove a mark value of an Evaluated Mark, the:

• PASI Client must have the Submit Academic Record User role, and
• Organization must own the record.

In addition, when being added via PASIprep, the:

• PASIprep user must have the PASIprep Level 01 Permission - PASIprep Access permission, and
• PASIprep user must have the PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials permission, and
• PASIprep user must have the PASIprep Level 08 Permission - Approve Course Mark Values permission.

In addition, a PASIprep user must meet the conditions in the following rules:

• Rule 40381 - Evaluated Mark - Unauthorized User - Level 8
