The Diploma Exam Mark was previously referred to as the Department Mark.

The following rules are applied to control access to view/add/edit Diploma Exam Mark records and its child Diploma Exam Mark Component records.

In order to access a record, the:

• PASI Client must have the View Transcript User role¹⁾ , and
• One of the following must be true:
  • User's organization Diploma Exam Mark Record Ownership
  • User's organization is associated to the ASN By Recent School Enrolment or better ²⁾ .
  • User's organization have Access to the Student (Moved) AND the record Current Course Mark

When being accessed via PASIprep, PASIprep user must have the following permissions:

1. PASIprep Level 01 Permission - PASIprep Access
2. PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials

When accessible, the following rules are applied to specific data elements on the record:

The ability to add a Diploma Exam Mark record is based on whether or not the Diploma Exam Mark record is considered a Diploma Exam Registration record.

In order to add a new Diploma Exam Registration record, the:

• PASI Client must have the Submit Academic Record User role⁴⁾ ,
• Organization must have Access to the Student (Moved)⁵⁾ , and
• One of the following must be true⁶⁾ :
  • User's organization is associated to the ASN By Last School Enrolment or better ⁷⁾, OR
  • User's organization Diploma Exam Mark Record Ownership
• If any of the Diploma Exam Mark Component are tied to a special⁸⁾ Diploma Exam Sitting, the Organization must be the Government of Alberta (O.1)⁹⁾

In addition:

• When being added via PASIprep, the PASIprep user must have all of the following:
  • PASIprep Level 01 Permission - PASIprep Access
  • PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials
  • PASIprep Level 25 Permission - Access Diploma Exam Registration screen
  • If any of the Diploma Exam Mark Component are tied to a special¹⁰⁾ Diploma Exam Sitting, the PASIprep User must also have the PASIprep Level 18D Permission - Organizational Group - Assessment Sector permission¹¹⁾

• When being added via myPass, the myPass user must have an Active Student Connection to the ASN.

In order to add a new Diploma Exam Mark (i.e. a Diploma Exam Mark record that is not considered a Diploma Exam Registration), the:

• PASI Client must have the Ministry Client User role¹²⁾ .

These records cannot be added using PASIprep or myPass.

The ability to add a Diploma Exam Mark record is based on whether or not the Diploma Exam Mark record is considered a Diploma Exam Registration record.

These rules are applicable when the Diploma Exam Mark record is considered a Diploma Exam Registration.

In order to update an existing record, the:

• PASI Client must have the Submit Academic Record User role¹³⁾ , and
• One of the following must be true¹⁴⁾ :
  • User's organization is associated to the ASN By Last School Enrolment or better ¹⁵⁾ , OR
  • User's organization owns the Diploma Exam Mark/Registration record both before and after the update

• If any of the Diploma Exam Mark Component are tied to a special¹⁶⁾ Diploma Exam Sitting, the Organization must also be the Government of Alberta (O.1)¹⁷⁾

In addition:

• When being updated via PASIprep, the PASIprep user must have all of the following:
  • PASIprep Level 01 Permission - PASIprep Access
  • PASIprep Level 06 Permission - View Courses and Marks and view access to Manage Credentials
  • PASIprep Level 25 Permission - Access Diploma Exam Registration screen
  • If any of the Diploma Exam Mark Component are tied to a special¹⁸⁾ Diploma Exam Sitting, the PASIprep Level 18D Permission - Organizational Group - Assessment Sector permission is also required¹⁹⁾ .

• When being updated via myPass, the myPass user must have one of the following:
  • Be in Public Mode and has an Active Student Connection to the ASN, OR
  • Be in Admin Mode with PASIprep Level 33 Permission - Manage Diploma Exam Registration with fees

These rules apply when updating a Diploma Exam Mark (i.e. a Diploma Exam Mark record that is not considered a Diploma Exam Registration).

In order to update a Diploma Exam Mark:

• the PASI Client must have the Ministry Client User role²⁰⁾ .

In general, Diploma Exam Marks cannot be updated in PASIprep or myPass, however a Diploma Exam Mark can be deleted via PASIprep when²¹⁾ :

• the Diploma Exam Mark has an Exam Mark Status of Registered (RE),
• the PASIprep user has the PASIprep Level 07A Permission - Manage Course Marks permission, and
• the PASIprep user has either the PASIprep Level 18B Permission - Organizational Group - Student Records or the PASIprep Level 18D Permission - Organizational Group - Assessment Sector permission
