Diploma Exam Conceptual Overview

The purpose of this overview is to provide a conceptual overview of diploma exam registrations and marks and how they are managed within PASI.

A Diploma Exam Mark record is used in PASI to track a student's registration/mark for a Course Code / School Year / Exam Period. While students are strongly advised to be registered for the exam they wish to write (or has written), it is not required to receive a mark (i.e. result) for the exam from Assessment. Exam Marks can be managed in PASI by students, schools, and ministry users (mainly Student Records and Assessment users).

A Diploma Exam Mark can be added to PASI in a number of ways:

Scenario Description
School registers the student

The following are the high level steps of the scenario:

  1. Student enrols in the course at the school.
  2. Student starts working through the course work.
  3. School's SIS uses a PASI Core Service to create a Diploma Exam Registration
  4. Student completes the course work
  5. Student writes the Diploma Exam
  6. Assessment marks the exam and submits a Diploma Exam Mark

An alternate of this scenario is that the school uses a DER File to load the registrations in step 3 rather than direct integration.

Student registers directly

The following are the high level steps of the scenario:

  1. Student enrols in the course in a school.
  2. Student starts working through the course work.
  3. School informs the student that they need to create a registration using myPass because a fee is due.
  4. Student uses myPass to register for a diploma exam sitting
  5. Student completes the course work
  6. Student writes the Diploma Exam
  7. Assessment marks the exam and submits a Diploma Exam Mark

An alternate of this scenario is that the student is not currently taking the course and wishes to rewrite the diploma exam. In that case, they would start with step 4.

Assessment creates record with results

The following are the high level steps of the scenario:

  1. Student writes the Diploma Exam
  2. Assessment marks the exam and submits a Diploma Exam Mark

This scenario really covers the situation where we have no prior knowledge that the student intends to write the diploma exam. The first indication Alberta Education gets is when the written exam is received by Assessment for marking.

Notes:

  • Registrations, when provided, are generally submitted before the student writes the exam on the time.
  • Assessment marks the exams and submits the results to PASI, generally around the transcript release date for the session.
  • Once the student receives their results, they may opt for a rescore, where Assessment will rescore the exam for the student and submit the rescore marks to PASI.
  • A registration is represented by an Diploma Exam Mark with a status of Registered in PASI. All other Diploma Exam Mark Statuses are used by Assessment when submitting students' exam mark/results to PASI.
